User Guide

MyEasy Pro connects WooCommerce with the Easy Mail Shipping SOAP service. Store administrators can create, print, cancel, and track vouchers from an order, process multiple orders from the WooCommerce order list, automate tracking, update order statuses, and notify customers.

Requirements

  • WordPress 6.5 or newer.
  • WooCommerce installed and active.
  • PHP 7.4 or newer with the SOAP extension enabled.
  • Easy Mail web-service username and password.
  • A valid MyEasy Pro license for the website domain.

Ask Easy Mail to provide the correct credentials for the production or development environment before configuring the plugin.

Installation

  1. Open WordPress Admin > Plugins > Add New Plugin.
  2. Select Upload Plugin.
  3. Upload the MyEasy Pro ZIP package.
  4. Select Install Now, then Activate Plugin.
  5. If MyEasy Lite is active, Pro deactivates it automatically.
  6. Shared Lite settings such as credentials, environment, print format, and token are copied to Pro during its first activation.
  7. Open WooCommerce > MyEasy Pro.

License Activation

  1. Open the License and Updates panel.
  2. Enter the license key supplied with your purchase.
  3. Select Activate License.
  4. Confirm that the status is Active for this domain.

The license remains valid for the registered domain. Access to future versions depends on the support period. Use Check License after changing the domain or renewing support.

Easy Mail Credentials

Complete the Credentials panel:

  • Environment: choose Production for live shipments or Development / Test for testing.
  • API Username: the Easy Mail web-service username.
  • API Password: the Easy Mail web-service password.

Test and production can use different credentials. Save the appropriate credentials whenever you change environment.

Voucher Settings

Order Tools

Enable Show order tools to display the MyEasy panel inside WooCommerce orders.

Use Shipping methods that should display the order tools to restrict the panel to orders using selected WooCommerce shipping methods. Leave the field empty to show the tools on all orders.

Hold Ctrl while clicking to select multiple options on Windows or Linux. On macOS, hold Command.

Paper Format

Choose the output used for voucher printing:

  • A4 uses the Easy Mail GetVouchersPdf operation and supports multiple references in one request.
  • A6 uses the Easy Mail A6 voucher operation.
  • Envelope uses the Easy Mail voucher-with-margins operation.

Select the format that matches the printer and stationery used by the store.

Order and Email Automation

  • Add order ID to comment: prefixes the shipment comment with the WooCommerce order ID.
  • Send email when voucher is printed: sends the WooCommerce-styled in-transit email after first voucher creation.
  • Order status for transit email: sends the in-transit email when the order enters the selected status.
  • Order status after voucher creation: changes the order status after its first voucher is created.

Reprinting an existing voucher does not repeat first-creation automation.

Creating a Voucher from an Order

  1. Open WooCommerce > Orders and edit an order.
  2. Find the MyEasy Pro panel.
  3. Review the shipment details:
    • COD: enable when payment must be collected on delivery.
    • Parcels: total number of packages.
    • Weight: total shipment weight in kilograms.
    • Saturday Delivery: request Saturday delivery when supported by the Easy Mail account.
    • Comment: note sent with the shipment request.
  4. Select Create & Print Voucher.
  5. Wait for the success message and use the returned PDF link.

The plugin stores the main voucher number and any additional parcel references in its shipment table and WooCommerce order metadata.

Reprinting, Tracking, and Cancellation

  • Select Create & Print Voucher again to reprint an existing voucher without creating a duplicate shipment.
  • Select Track Voucher to retrieve and store the latest Easy Mail checkpoint.
  • Select the voucher reference to open the public Easy Mail tracking page.
  • Select Cancel Voucher, review the confirmation message, and confirm to cancel the main and additional voucher references remotely.

After successful cancellation, the stored voucher and tracking information are removed from the order.

Sending the Tracking Email Manually

After a voucher exists, use Send Email in the order panel to send the WooCommerce-styled in-transit email. The email includes the voucher number and tracking link and uses the language associated with the order when available.

Order List Tools

MyEasy Pro adds the following to the WooCommerce orders list:

  • A Carrier column.
  • A Reference Easy Mail column with a tracking link.
  • A shipping-method filter for the currently displayed orders.
  • MyEasy Pro - Mass Print Vouchers bulk action.
  • MyEasy Pro - Cancel Vouchers bulk action.

These integrations support both classic WooCommerce order storage and HPOS.

Mass Printing

  1. Open WooCommerce > Orders.
  2. Select the required orders.
  3. Choose MyEasy Pro - Mass Print Vouchers from Bulk actions.
  4. Select Apply.
  5. The plugin opens a progress dialog and processes each selected order through AJAX.
  6. Review processed and failed order counts.
  7. When processing completes, select Download PDF.

Orders without a voucher receive one first. Orders with an existing voucher are reprinted. Generated documents are merged into one download when the PDF merge library is available. Failed orders are listed in the result instead of being silently ignored.

Bulk Cancellation

  1. Select orders from the WooCommerce order list.
  2. Choose MyEasy Pro - Cancel Vouchers.
  3. Select Apply.
  4. Confirm the warning before cancellation begins.

Only orders with stored Easy Mail voucher references are processed. The completion message reports processed and failed orders.

Automatic Tracking and CRON

MyEasy Pro supports both a real server CRON request and an hourly WP-Cron fallback.

Recommended Server CRON

  1. Open WooCommerce > MyEasy Pro.
  2. Copy the Tokenized Endpoint from CRON Settings.
  3. Configure the hosting control panel to request that URL at the desired interval.
  4. Keep the complete URL private because it contains the authentication token.

Tracking Filters

  • Order statuses to track: limits tracking to selected WooCommerce statuses. Leave empty for all statuses.
  • Shipping methods to track: limits tracking to selected shipping methods. Leave empty for all methods.
  • Late after (days): number of days before an undelivered shipment is considered late.
  • Order status for late orders: status applied after the late threshold.
  • Order status for delivered orders: status applied after Easy Mail confirms delivery.
  • Thank-you email after delivery: sends the WooCommerce thank-you email once after first delivery confirmation.

Easy Mail checkpoint code 017.000 is treated as delivered by the current integration.

PDF Storage and Cleanup

Generated PDFs are stored in isolated plugin storage under WordPress uploads.

  • Use Clear Generated PDFs to delete stored plugin PDFs immediately.
  • Set Delete PDFs After (days) to control automatic cleanup during CRON processing.

Deleting a local PDF does not cancel or delete the Easy Mail shipment.

Customer Emails

MyEasy Pro registers WooCommerce email classes for:

  • MyEasy Pro: In Transit, containing the voucher number and tracking link.
  • MyEasy Pro: Delivery Thank You, sent once after confirmed delivery when enabled.

Email appearance follows the WooCommerce email template and branding configured by the store. Subject and heading values can be edited under WooCommerce > Settings > Emails.

Private Updates

MyEasy Pro integrates with the normal WordPress update interface.

  • A valid domain license is required to use Pro shipment features.
  • Active support is required to download newer versions.
  • Use Check for updates below the plugin name on the Installed Plugins page to refresh update information immediately.
  • WordPress validates the downloaded ZIP structure before replacing the installed plugin.

Troubleshooting

The plugin says that credentials are missing

Confirm that both API username and password are saved for the selected environment.

SOAP communication fails

Confirm that the PHP SOAP extension is enabled, the server can reach the Easy Mail WSDL endpoint, and the credentials match the selected production or test environment.

A voucher cannot be created

Verify that the order contains recipient name, address, city, postcode, and telephone. Review the exact Easy Mail response displayed by the plugin.

The PDF does not open automatically

Use the PDF link displayed in the success message. Browser popup restrictions can prevent a new tab from opening automatically.

Bulk processing reports failed orders

Review the order IDs shown in the dialog, open those orders individually, and retry to see the carrier's detailed response.

Tracking does not change the order status

Confirm that the CRON filters include the order, that the delivered/late status settings are configured, and that Easy Mail returned a matching checkpoint.

External Services and Privacy

Easy Mail requests can contain the configured credentials, recipient contact and address details, order reference, COD amount, parcel count, weight, Saturday-delivery selection, shipment comment, and voucher references. These data are required to provide the courier service.

The plugin also contacts the 01generator licensing and update API with the license key, plugin slug, site URL, and installed version. It does not send analytics or telemetry.
